Preservica, has unveiled a series of new innovations to its pioneering Active Digital Preservation archiving platform that further simplify and automate the challenge of ensuring critical long-term data is instantly usable, reliable and trusted for compliance and emerging AI use.

With up to a third of digital content needing to be retained long-term (more than 7 years) according to IDC, unreadable or lost data from poor retention policies, obsolete file formats and accidental or intentional change or deletion is not only a serious compliance, reputational and legal risk but also impacts an organization’s ability to leverage AI for value creation and process automation.

Optimized for AI

Working in collaboration with its global user community, Preservica has developed an Optimized for AI framework that leverages the unique capabilities of its Active Digital Preservation platform to deliver the safe and scalable use of AI built on a robust foundation of reliable, useable and trusted long-term data.

Unique capabilities - such as flexible and extensible metadata for enrichment and AI provenance data, powerful security permissions to control AI access to data and state-of-the-art webhook APIs - enable users to leverage AI tools and services with human oversight as well as make trusted data securely available to AI Agents for content generation and process automation.

Metadata Enrichment

The framework enables archival teams to leverage AI-powered productivity tools and services for Digital Preservation to enhance the discoverability and accessibility of collections through multi-modal enrichment – such as AV transcription, image recognition, scene description, translation, classification and redaction.

PII detection

First in the series of AI-powered tools available today is PII (Personally Identifiable Information) classification and detection on ingest for mitigating privacy and security risks. Files with PII content are identified and new fields added to the file metadata listing PII content along with a % confidence level. This enables further validation and appropriate action to be taken regarding public sharing of assets.

Active Digital Preservation

At the core of the new innovations is Preservica’s Active Digital Preservation archiving software that incorporates an intelligent data model for complete digital asset integrity and trustworthiness, automated ongoing updates to assets for always usable data and the unique ability to seamlessly embed Active Digital Preservation archiving into everyday Microsoft 365 workflows and tools with Preserve365®.

Maximizing Microsoft software investments

Making trusted, always actionable long-term content part of the Microsoft 365 experience and ecosystem enables Microsoft customers to leverage existing software investments such as retention labels and Power Automate to meet compliance, optimize SharePoint environments, create new value and automate business processes.

Business users with the correct Microsoft permissions can also quickly self-serve always usable archived files using SharePoint search or by clicking-thru from the original file location. This reduces the burden on IT teams to find and re-hydrate data from separate archiving systems as well as maximizing efficiency in actioning FOI, regulatory, legal and operational records.

Microsoft Teams and Outlook

Building on the rapid uptake of Preserve365 in the US and UK, Preservica has recently expanded availability to Canada and through 2025 will be adding embedded archiving and Digital Preservation for Teams and Outlook.
